Project Overview

A solo property developer approached me to streamline their lead generation system. They were juggling too many manual tasks from capturing lead details to organizing receipts and outreach and it was costing time and momentum.

I built an automated backend that handled lead capture, follow-up, and admin freeing up over 10 hours per week and increasing lead quality without any ad spend.

Problem

Like many small business operators, the client faced:

  • Lead details scattered across forms, messages, and notes
  • Manual data entry consuming hours every week
  • No system to capture, nurture, or follow up with potential buyers or investors

The bottleneck wasn’t leads it was workflow fatigue and operational chaos.

Process & Systems

I designed and deployed a simple, scalable backend automation system:

  • Lead Intake Form: Built a mobile-friendly form that captured structured lead info in seconds
  • Receipt-to-Spreadsheet Automation: Used OCR + Make.com to auto-extract details from receipt images and log them into Airtable
  • Auto-Follow-Up System: Triggered emails and reminders based on lead type (buyer/investor)
  • Lead Tracker: Built a custom Airtable dashboard with filters, lead stages, and deal notes
  • SOP for Delegation: Created a 3-step guide any VA could follow to monitor and update system

No more juggling messages. Everything routed, tracked, and followed-up automatically.

Outcome

  • Saved over 10 hours/week in manual admin
  • Increased lead-to-call conversion by creating instant follow-up automation
  • Reduced context-switching and inbox overwhelm for the founder
  • Built a “plug-and-play” backend that could be handed off to a VA anytime

Reflection

This is what I love building: unseen infrastructure that gives founders their time back.

It’s not just about leads it’s about freeing the mental bandwidth to follow up, close, and think bigger. This system now runs quietly in the background, doing the work most people avoid or delay.

It could be instantly adapted to other real estate solopreneurs or deal sourcers with minimal customisation.
